Important Deadlines

June 10:
  • Notification of exhibit space number by email.
  • You will receive your Exhibit Service Manual via email.

August 15:

Final payments on exhibit space due. No refund on space cancellations after this date. (Exhibit personnel fees are cancellable until October 17, 2019.)


September 15:
  • Last day to cancel exhibit space for a partial refund (see "Cancellation Policy").
  • Final day that exhibit applications may be accepted and the final day to apply for or cancel the room drop marketing opportunity.
  • Exhibitor Information Forms due (names of exhibit personnel).
  • Ancillary Function Request Form due (if applicable). 

September 20:

Final product/service description due for inclusion in Onsite Program Guide.  Exhibit application must be approved by this date to be listed in the Onsite Program Guide.


October 17:
  • Last day to cancel or substitute exhibit personnel badges or cancel Gala Dinner tickets for refund.
  • A mailing list of all registered attendees will be emailed to each exhibiting company (Excel format) for one pre-show mailing.

SET-UP:
  Wednesday/November 13, 2019 12:00pm - 8:00pm
SHOW HOURS:
  Thursday/November 14, 2019 7:30am - 8:00pm
  Friday/November 15, 2019 8:15am - 6:15pm
  Saturday/November 16, 2019 7:30am - 12:30pm
DISMANTLE:
  Saturday/November 16, 2019 12:30pm - 2:30pm

Exhibits must not be disturbed, dismantled or removed before 12:30pm on Saturday, November 16, 2019. All exhibit materials must be removed from the exhibit area by 3:00pm on Saturday, November 16, 2019.


Cancellation Policy

Written notification of an exhibitor's decision to cancel must be faxed or emailed to Jule Uddfolk, Meetings & Exhibits Manager, at the ISHRS Headquarters office (fax:1-630-262-1520, info@ishrs.org). It is the exhibitor's responsibility to assure the cancellation was received. If written notification of cancellation is received at the ISHRS Headquarters office, the following policies will apply to the exhibit space:

  • Received by July 15, 2019 – Full refund less $100 administrative fee
  • Received July 16 - August 15, 2019 – 50% refund less $100 administrative fee
  • After August 15, 2019 – No refund

Regarding Exhibit Personnel Fees, there is no penalty for cancellations up until October 17, 2019.  After that date, there is no refund for cancellations.


Room Drop Cancellation Policy

There will be no refund for cancellations of room drops after September 15, 2019.  All room drop cancellations must also be received in writing, as described above, under the Exhibit Cancellation Policy.
